Writing an email

  1. Click the "Write" button on the toolbar at the top of the screen; this will open up a new, blank email;
  2. In the field to the right of "To:", enter the email address of the person you are writing to, e.g., "someone@example.com";
  3. Click in the field to the right of "Subject:", and enter a subject for your email;
  4. Click in the large white rectangle towards the bottom of the window and type the "body" of your email: i.e., whatever you want to say;
  5. When you are finished typing your email, click the "Send" button on the toolbar at the top of the screen.

Checking for new mail

  1. Click the "Get Mail" button, which you'll find towards the top left of the screen;
  2. Thunderbird will connect with your email server to download your emails;
  3. If you have any new emails they will appear in your inbox!

The Thunderbird Address Book

Thunderbird includes an address book feature, which keep a track of all of your contacts' email addresses so that you don't have to remember them yourself.

Adding addresses to the address book

To add an address to the address book,

  1. Click on the "Address Book" icon at the top of the main Thunderbird window. A new window will open, titled "Address Book".
  2. Click the "New Card" icon in the toolbar the top of the "Address Book" window; a further new window will open, titled "New Card".
  3. Fill in as many of the fields in the "New Card" window as you want, but make sure to fill in the name and email address fields.
  4. Click "OK" in the "New Card" window.
  5. If you want to add another address, repeat steps 2-4; otherwise, just close the "Address Book" window.
  6. That's it - the contact(s) you added to the address book are now stored there, so you don't have to remember their addresses any more.

Deleting addresses from the address book

  1. Open the address book
  2. Click on the address that you want to delete
  3. Click the "Delete" button in the toolbar at the top of the screen - it looks like a red "X"

Reply, reply to all, forward

When you receive an email, you might want to reply to the person who sent it. Alternatively, if the email was sent to more than one person, you might want to reply to the the person who sent the email, but also to everyone the email was sent to: this is called replying to all. Finally, you might want to forward an email you have received, so that someone else can read it.

To do any of these things, first of all click on the email you have received so that it is highlighted, and appears at the bottom of the Thunderbird window. Then:

To reply

Click on the "reply" button in the toolbar at the top of the screen. A new email will be created, automatically addressed to the person who sent you the previous email, and with a subject that says Re: [Original subject], where Original subject was the subject of the previous email. In the body of the newly created email, you will see a copy of the appeared in the previous email. The cursor will be flashing above this, so type in what you want to say and click "send".

To reply to all

Click on the "reply all" button in the toolbar at the top of the screen. A new email will be created which is very similar to the email described in the "To reply" section above. The only difference is that it will be addressed to multiple people: that is, to everyone who received the original email. Note that if the original email was only sent to you, clicking on "reply all" has the same effect as clicking on "reply".

To forward

Click on the "forward" button in the toolbar at the top of the screen. A new email will be created. The subject of this email will be [Fwd: Original Subject], where "Original Subject" is the subject of the email you are forwarding. In the "To:" field, enter the email address(es) of the person or people you want to forward the email to. Then in the the body of the email, type a quick note at the top which explains what you are forwarding and why.

Why does the email I am replying to get included in the reply I send?

When you "reply" or "reply all" to an email, the email you are replying is automatically included in your reply. You can type your reply above this automatically included text. It is included for a reason, however: if someone is sending a lot of emails, when they get a reply back from the people they have written to, it helps if that reply includes the email they originally sent, so that the original sender knows what the reply refers to.

Sending attachments with an email

Sometimes you will want to send an email which has a separate file from your computer attached to it: for example, you might want to send a picture of you on your holiday to a friend. Follow these instructions to attach a file to an email:

  1. Write and address your email as normal.
  2. Click on the paperclip in the toolbar at the top of the screen, which is marked "Attach".
  3. A new window will open which allows you to select the file you want to attach to the email you are sending. The first thing to do is to locate whereabouts on your computer the file you wish to attach is. If you're not sure, just click on "My Document", as most of your files will be in there.
  4. When you have located the file you want to attach, click on it and then click the "Open" button in the bottom right of the window.
  5. You will be taken back to the email you were writing, and in the top-right of the window the file you attached will be listed. To attach another file, follow these instructions through again from step 2; otherwise, simply send the email.

Forwarding an attachment

If you receive an email with an attachment and you want to forward the attachment to somebody else, simply forward the email: the attachment will be attached automatically.

Sorting emails into separate folders

When you are receiving a lot of emails, you might find that your inbox gets a bit unwieldy. It is possible to move emails from teh inbox to a separate folder, so that they are there when you need to refer to them, but you don't have to wade through them when you are looking for emails you have just received.

You can create as many folders as you like. For example, you might have one called "Friends", which would hold emails from your friends; you could have another called "Banking", which contained emails you had received from your bank.

Creating a new folder

  1. Right-click on the Inbox, at the top of the left-hand column.
  2. A menu pops up. Click "New Folder...".
  3. A new window pops up. Type in a name for your folder, and then click OK.
  4. Your new folder will now appear beneath your Inbox in the left-hand column of the screen.

Moving emails to a new folder

  1. Move the mouse pointer over the email you want to move.
  2. Click and hold down the left mouse button.
  3. Move the mouse pointer over the folder you want to move the email into.
  4. Release the left mouse button. The email should have disappeared from the folder it was in, and will now be in the folder you moved it into.

Moving more than one email at a time

  1. Click on the first email you want to move.
  2. Hold down the "Control" button (usually marked "Ctrl" or "Ctr").
  3. Click on the next email you want to move.
  4. Repeat steps 2 and 3 until you have selected all the emails you want to move.
  5. Drag one of the emails into the folder you want to move all of the emails into. All of the emails will be moved!

Some keyboard shortcuts

It is often quicker to use the keyboard, rather than the mouse. Using these instructions, you can send an email without ever having to use the keyboard!

  1. Load the Thunderbird program.
  2. While the main Thunderbird window is displayed, press Ctrl+N. This will create a new email.
  3. In the new email window, note that the keyboard cursor is in the "To:" box. Start typing the email address of the person you want to email (if they are in your address book, you can start typing their name instead).
  4. As you type in more letters from the person's name, Thunderbird will try to guess who you want to write an email to. If their email address appears in the "To:" box, press return. If their email address appears below the "To:" box, press the down arrow key until their email address is highlighted, and then press return.
  5. Press the tab key to move the keyboard cursor down to the "Subject" box, and type a subject for your email.
  6. Press the tab key to move the keyboard cursor down to the body of the email, and type your message. Remember that email is a pretty informal mode of communication, so don't worry too much about punctuation or making mistakes.
  7. Once you have written your email, send it by pressing Ctrl+return. If you decide you don't want to send the email, press Ctrl+W; a dialog box then appears, and you can press "S" to save the email, or "D" to discard the email.
